Hermes Agent Professional Services Automation¶
Hermes Agent automates client onboarding, time tracking, invoice generation, and project status reporting for agencies, consultancies, and professional services firms. Eliminate the manual handoffs between CRM, project management, and billing systems so practitioners focus on billable client work.
Overview¶
Professional services firms — agencies, consultancies, law firms, accounting practices — sell time and expertise. The operational overhead of tracking that time, managing client work, and producing deliverables consumes hours that should be billable. A typical firm runs a CRM for business development, a project management tool for delivery, a time tracking system (often separate), an invoicing platform, and communication tools. Data moves between these systems manually. Hermes Agent automates these handoffs.
How It Works¶
Client Onboarding Automation¶
Onboarding a new client involves a repeatable sequence: contract signing, project setup, team assignment, tool access provisioning, kickoff meeting scheduling, and welcome communication. Hermes can orchestrate the entire flow.
Onboarding Orchestrator
- name: client-onboarding
schedule: "0 */2 * * *" # Every 2 hours
skill: client-onboarding
description: Monitors CRM for new closed-won deals and triggers onboarding workflow
When a deal reaches "Closed Won" in the CRM (HubSpot, Close, LeadConnector), the skill: 1. Creates the project in the project management tool (Monday.com, Notion, or via direct database insert) 2. Assigns the delivery team based on skills and availability (queried from team calendar and workload data) 3. Generates a welcome email to the client with next steps and key contacts 4. Schedules the kickoff meeting using the team's Calendly or calendar availability 5. Creates a shared document workspace (Google Drive, OneDrive, Notion) 6. Posts a new-client announcement to the team Slack channel with key details
- name: onboarding-status-check
schedule: "0 9,15 * * *" # Twice daily
skill: onboarding-status
description: Checks all in-progress onboardings for stalled steps
This companion skill identifies onboardings where a step is overdue — contract hasn't been countersigned after 48 hours, workspace hasn't been accessed by the client, kickoff hasn't been scheduled — and escalates to the engagement manager.
Time Tracking Automation¶
Time tracking is the most universally hated administrative task in professional services. Hermes can't observe what you're doing, but it can make tracking dramatically easier.
Calendar-to-Timesheet Bridge
- name: calendar-time-sync
schedule: "0 18 * * 1-5" # Weekdays at 6 PM
skill: calendar-to-timesheet
description: Suggests time entries based on calendar events
The skill: 1. Pulls the day's calendar events (Google Calendar, Outlook) 2. Matches events against active projects and clients in the PM tool 3. Creates draft time entries for review 4. Flags gaps — calendar blocks without matching events, suggesting those hours may be missing from tracking 5. Delivers a daily summary: "Here are your suggested time entries. Confirm and we'll log them."
Project Budget Monitoring
- name: budget-burn-monitor
schedule: "0 8,16 * * *" # Twice daily
skill: budget-burn
description: Compares actual hours against project budgets and flags overruns
This skill queries time tracking data against project budgets and calculates burn rate. When a project exceeds 70% of budget, it alerts the project manager. At 90%, it escalates to the engagement lead. The alert includes: hours consumed, hours remaining, projected completion date at current velocity, and a list of remaining deliverables.
Invoice Generation¶
Bridging time tracking to invoicing is another manual handoff Hermes automates.
- name: invoice-generation
schedule: "0 7 1,15 * *" # 1st and 15th at 7 AM
skill: invoice-generator
description: Compiles unbilled time and expenses into draft invoices
The skill: 1. Queries time tracking for unbilled entries (by client, by project) 2. Applies client-specific rates (blended rate, role-based, fixed fee) 3. Adds any unbilled expenses 4. Generates draft invoices in the accounting system (QuickBooks, Xero, or custom) 5. Produces a review summary: total by client, notable items (large line items, new expense categories, rate changes) 6. Delivers to the billing manager for review with a single approval action
Project Status Reporting¶
Client status reports are essential but formulaic. Hermes can compile them automatically.
- name: weekly-client-status
schedule: "0 7 * * 5" # Friday at 7 AM
skill: client-status-reports
description: Generates weekly status reports for all active client engagements
The skill: 1. Pulls completed tasks and milestones from the PM tool 2. Retrieves hours logged and budget status 3. Collects any flagged risks or blockers 4. Compiles into a templated status report (Markdown, then converted to PDF or Google Doc) 5. Saves to the client's shared folder and notifies the engagement manager to review before sending
Agency Retainer Tracking¶
For agencies working on retainer, tracking utilization against retainer hours is critical:
- name: retainer-utilization
schedule: "0 8 * * 1" # Monday at 8 AM
skill: retainer-tracker
description: Reports retainer utilization and flags under/over delivery
This skill compares hours delivered against retainer commitments week-over-week, identifies clients at risk of over-delivery (scope creep without compensation) or under-delivery (client may question value), and alerts account managers to adjust.
Benefits¶
- Faster client onboarding — 6-step workflow triggered automatically when a deal closes
- Less time spent on timesheets — calendar-based suggestions reduce "what did I do Tuesday?" gaps
- No budget surprises — alerts at 70% and 90% of project budget prevent overruns
- On-time invoicing — billing cycles run on schedule, not when someone finds time
- Automated status reports — client-ready reports compiled from PM data every Friday
- Retainer visibility — under/over-delivery flagged weekly before clients notice
Getting Started in Professional Services¶
- Connect your PM tool and calendar first. These are the two highest-signal data sources for services automation.
- Start with reporting, not action. Build status reports and monitoring before automated actions — let the team build trust in the data.
- Involve the billing manager early. Invoice generation automation directly affects cash flow. Get their requirements and validation rules before automating.
- Use Slack as the operations hub. Services teams live in Slack. Route all alerts, approvals, and summaries there.
- Layer automation gradually. Week 1: status reports. Week 2: time tracking suggestions. Week 3: budget alerts. Week 4: invoice drafts.
The outcome: practitioners spend less time on admin, managers have real-time visibility into project health, and billing cycles shorten because invoicing happens on schedule, not when someone finds time.
FAQ¶
What project management tools does Hermes connect to?¶
Hermes connects to Monday.com, Notion, and any PM tool with SQL database access or API. Custom connectors can be built for proprietary or industry-specific platforms.
Can Hermes track time automatically?¶
Hermes suggests time entries based on calendar events and matches them to active projects, but practitioners must review and confirm entries. It cannot observe work activity directly — it bridges calendar data to timesheets.
How does Hermes handle different billing rates?¶
Hermes supports blended rates, role-based rates, fixed-fee arrangements, and client-specific rate cards. Rate rules are configurable per client and project.
Can Hermes generate invoices in QuickBooks?¶
Yes. Hermes pulls unbilled time and expenses, applies client rates, and creates draft invoices directly in QuickBooks or Xero through the accounting connectors. Invoices route for billing manager review before sending.
Does Hermes track agency retainers?¶
Yes. Hermes compares hours delivered against retainer commitments weekly, flags under-delivery (client may question value) and over-delivery (scope creep without compensation), and alerts account managers to adjust.
